Vendor Onboarding Policy

VKMA Innovations Pvt Ltd · Updated On April 2026

Operating as a multi-vendor marketplace, VKMA Innovations connects buyers to sellers across shop, property, motors, jobs, and services while maintaining the technology infrastructure behind those transactions. We don't buy or sell anything ourselves. Your responsibility to manage, legally and practically, is everything that happens between you and your customers. What's permitted on the platform, what we expect before you register, and where the lines are is set out here. Before you apply, read it.

1. Who Can Sell on VKMA Innovations

Indian law permitting it is the baseline for anything you list, provided it meets the regulatory requirements for that product type and fits an approved VKMA Innovations category. Secure it before you list if the law requires it—whether that means drug licenses where the category demands it, BIS certification for electronics, or FSSAI registration for food products. Our team reviews every vendor application. If accounts don't meet eligibility, they don't get approved. Existing accounts are terminated if they fall out of compliance after onboarding. Giving advance notice is not required, as we reserve the right to make that call.

2. What We Need at Registration

With the following, valid variations for necessary documents are mandatory to understand this segment with professional and legal details:

  • Proprietorship Business: KYC, Trade Licence/ MSME, GST (if your proprietor requires it)
  • Partnership Business: KYC of partners, PAN, Trade Licence/ MSME, Partnership Deed, GST mandatory
  • Private Limited and Limited: KYC of directors, MOA, AOA, PAN of the company, GST mandatory

-Crucial for all of these aforementioned fields is remembering that a “Cancelled Cheque or Passbook of Business Account” is highly important.

If your address moves, your bank account changes, or your GST registration status shifts, update it in your dashboard. Held against an active account, stale or wrong information is grounds for suspension—not a minor admin issue.

3. What You Can and Cannot List

Can do: Permissible under Indian law, any item that complies with all relevant industry regulations and fits within an approved VKMA Innovations category may be listed. Whenever local law mandates a permit—drug licenses for medical lines, BIS certification for electronic goods, or FSSAI clearance for food items—you must secure it prior to publishing.

Can't do: Prohibited under Indian statutes, items barred by our separate category handbooks, materials deemed offensive or libelous, goods violating active trademarks or copyrights, or Counterfeit or Replica items are banned. Immediately without warning, illegal posts are deleted. Profile suspension is permanently triggered by future infractions—following the initial strike, no second chances are offered by us.

4. Pricing and Inventory

Your own prices are set by you. Don't display a price that excludes GST and then add it later in the checkout flow, because they must include all applicable taxes. Prohibited are artificially inflated prices with fictitious discount percentages. For exactly this, consumer protection regulators have taken action against platforms and sellers, and we don't want to be part of it.

What you actually have on hand needs to be reflected by your listed inventory count. Cancelling orders repeatedly because stock ran dry signals either poor operations or deliberate overbooking—both lead to penalties, and enough of them get the account suspended.

6. Orders, Shipping, and Returns

Always dispatch your orders within the specific timeline outlined on your listing page. Secure and proper packaging is mandatory; any items broken during transit due to poor packaging remain your financial liability. If the item delivered does not match what was advertised, the customer will receive a complete refund at your expense.

All returns are processed based on the platform's published return policies. Unless otherwise specified in a written agreement, you are responsible for all return shipping costs. Refunds must be returned to the original payment source; store credit adjustments cannot be substituted for a cash refund unless a customer explicitly asks for it.

7. Payments and Settlements

Payments are processed securely via VKMA Innovations proprietary checkout system. We do not hold status as a bank or financial entity. Disbursal of your settlements aligns with the cycles agreed upon during onboarding, minus platform fees and required tax deductions.

Account holds will occur during fraud checks, open disputes, chargebacks, or active policy evaluations. We will issue a notice and a clear explanation whenever a hold is initiated. Anticipate no movement of funds while an investigation stays open. Once the matter is resolved, your regular settlements will resume within our published timeline.

8. Platform Rules

The following activities will result in the immediate termination of your account: rating manipulation, creating alternate profiles to post fake reviews, uploading false product specifications, gaming search positions via multiple vendor profiles, attempting to scrape or reverse-engineer our platform code, and committing fraud under Indian jurisprudence. We monitor for these violations constantly, and account termination is executed at our sole discretion.

Leaving public feedback is entirely an option for customers. While you have the right to respond, your communication must stay professional. Buying positive reviews or threatening buyers over negative feedback is strictly prohibited. Accounts caught doing this face immediate deletion and may be reported to consumer protection agencies.

9. Data and Privacy

Data privacy laws dictate how you must handle customer personal metrics—including names, addresses, and transaction histories—accessed through your vendor portal. Order fulfillment is the exclusive reason this data is shared. Using it for marketing or alternate purposes constitutes a severe breach of policy and a potential violation of law. You must not store or export sensitive customer information outside of the platform’s ecosystem.

10. Suspension and Termination

We can suspend or terminate vendor profiles due to policy non-compliance, legal issues, outstanding platform fees, or fraudulent behavior. Please note that account deletion does not clear all records; legal and audit requirements demand that we retain specific operational data. If a suspension appears unjustified, you can submit the case to our grievance review board. This remains a manual evaluation process handled entirely by humans.

11. Intellectual Property

Trademarks, system code, and platform-generated content are the exclusive property of VKMA Innovations. You retain full ownership of the custom content you upload, such as product listings, descriptions, and photos. By publishing on our site, you grant us a non-exclusive license to display, distribute, and use that content for operational and promotional needs.

12. Liability

We assume no liability for logistics misses, product failures, disputes with buyers, or business losses stemming from your platform usage. Should any liability be established against us, it will be strictly capped at an amount equal to the platform fees you paid in the three months prior to the claim.

13. Governing Law

Indian jurisprudence governs these regulatory terms. Unresolved internal disputes will move to formal arbitration held in Kolkata, conducted under the guidelines of the Arbitration and Conciliation Act, 1996.

14. Acceptance

Choosing the "I Agree" button during registration serves as legal proof that you have read, understood, and consented to these rules, confirming you did not merely scroll past them. Please reach out to clear up any confusing points before completing your registration.
